How to Set Up SMS Platform Administrators

So...

You’re looking for an SMS platform. You’re trying to determine which service is right for you.

One thing in particular you may be looking for is the ability to have separate user logins. That way, multiple people can manage the texts without having to share an account.

Maybe you have several administrators in your organization but you don’t want to give everyone access to everything in regards to your text blasts.

Maybe you have people in charge of different audiences and you need to be able to organize how they go about messaging their respective recipients.

Or maybe you want someone else to manage the messaging while you oversee and handle all the billing.

Whatever the case, you need something that offers the convenience and flexibility of adding separate administrator logins.

The good news is that yes, Mobile Text Alerts offers capabilities to create multiple user profiles.

Here’s how it works.

Unlimited User Profiles at No Added Cost

I’m sure you’ve run into it.

You’re using a service and are excited to find out it has exactly the feature or thing you need… for a fee.

“Yes, you can do [fill in the blank]... if you upgrade to the next tier of service.”

Sometimes that kind of exasperation is unavoidable.

And let's say you want to add multiple user profiles to your SMS platform. Perhaps you want to keep everything organized and separate among the people who will be sending the texts or handling the billing.

But… will you be nickel and dimed to death for all the users you want to add?

The answer is no!

When it comes to adding user profiles to send messages for your SMS platform, there’s nothing to worry about.

You can create unlimited administrator profiles.

No worrying about reaching limits or upgrade fees. Simply add the profiles you need - all the profiles you need! - with no hidden costs.

Easy User Creation Interface for No-Hassle Management

We all want more simplicity in our lives to one extent or another.

Your life is busy, hectic, and stressful enough. Why add services and tools that just end up complicating your life and business even further?

When it comes to user management for your administrator profiles on your SMS platform, you need something that is easy. You don’t want to create extra hassle for yourself.

Your user creation interface is a snap to use. Here’s how it works.

  • Step 2: Select the “Add an Administrator” button.
  • Step 3: Fill in the new administrator’s email address, your desired access level of permissions you’d like to give to them (more on permission levels later), and which groups you’d like to assign to them (optional).

  • Step 4: Click “Send Invite.”
  • Step 5: The user will then receive an invitation email including a link. Instruct your user to click that link.
  • Step 6: The user should then fill out the form within that link, and click the button on the bottom of the page. They will then be automatically added to your administrator list.

You should follow those steps for any user that you’d like to add as an administrator. (You can follow similar steps to conveniently add administrators from the mobile app as well.)

Once each user fills out the invitation form to add themselves as an administrator, their profiles will appear in the “Current Administrators” table.

If needed or desired, you can edit information for your administrators anytime by clicking the “pencil” icon for the user’s entry.

You’ll be able to edit the following information for each administrator:

  • Username
  • Password
  • Phone number
  • Email address
  • Permission level
  • Assigned groups (if any)

And that’s all there is to it! It’s not a difficult or time-consuming process, so you’ll have your administrator profiles set up in no time.

Permission Level Options for More Flexibility

No one likes to be stuck in a box.

And rarely in life is anything truly “one size fits all.” People are different; businesses and organizations are different.

Along those lines, you may want different administrators with the ability to send messages on your SMS platform. But you don’t want to give everyone the exact same level of access.

You may have someone who can manage the whole account unrestrained. You may want someone else who can send messages but not access the billing end of things. Or you may have administrators that you want to be able to only send messages to their own individual groups of recipients.

That’s why you need different options for your administrators’ permission levels.

Your SMS platform will give you 3 options:

  • Level 1 (Restricted)
    • The user can only send messages to specific groups assigned to them. The user does not have access to manage contacts or billing.
  • Level 2 (Standard)
    • The user has access to manage and send messages to all contacts. The user does not have access to billing. Some other elements Standard-level administrators can manage include:
  • Level 3 (Super)
    • The user has unrestricted account access to all contacts and to billing. Super-level administrators can manage all of the above-mentioned elements, and can also purchase add-ons, view billing history, and make upgrades.

These different permission levels give you more flexibility to create the administrator profiles that make the most sense for yourself and your own users.

That way, you’re not stuck with a “one size fits all” option that doesn’t actually fit you!

Administrator Texting Capabilities for Maximized Convenience

Convenience is a huge goal for many of us with our busy lives, and probably for you too.

Anything that can save even just a little bit of time and hassle is a big win.

Adding administrators for your SMS platform gives you even more convenience to help make sending text blasts as easy as possible for you and your users.

That’s because administrators have 3 convenient options for sending messages to their audience:

  1. Sending texts via web platform
  2. Sending texts via mobile app
  3. Sending texts via text-in

We’ll go through each of these in turn.

1. Sending Texts Via Web Platform

Administrators can log in and send messages using the web platform at any time.

All it takes is a few clicks of the mouse or tracking pad. Simply log in to the platform and go to the Send a Message tab on your account.

Send message page

From this section, you can select when you’d like the messages to go out. (The options are to send “immediately” or to schedule for a later time.)

Then you can scroll down and select the recipients for your message.

Lastly, lower down on the page, type out the content you’d like to send within your message.

When you’re ready to send, click the button on the bottom of the page and your message will be sent!

2. Sending Texts Via Mobile App

The second, and even more convenient, way to send messages is via the mobile app.

First you’ll need to download the app for iOS or Android.

Once it’s easily accessible on your phone’s home screen, you can open it up and go to the “Messages” tab.

Select the “Send” icon toward the bottom of the screen, and then follow the prompts. You’ll be able to select the timing and audience for your message.

Type your message into the “Message” box on the final prompt and then tap “Send.” And presto!

As long as you have an internet connection, this will usually be your most convenient option for sending.

3. Send Texts Via Text-in

While sending via mobile app is quite easy and convenient, there may be times when you don’t have internet service, or for one reason or another can’t access the app or log in to the platform.

But never fear! You still have a convenient option: sending a message by texting into the SMS platform system.

With this option, administrators can blast out a message to their text alert audience by sending a simple text from their own phone.

Here’s how it works:

  • An administrator should input their cell phone number when setting up their user profile (so that the system can recognize the phone number when the user texts in to send their message).
  • If the administrator doesn’t input a phone number when signing up, a phone number can be assigned to their administrator profile under the Manage Administrators profile.
  • When the administrator is ready to send a message, they will need to set up a text message on their phone in the following format (with no brackets): [Group Name] [Message]
  • They can send that text to the phone number 229-299-8227, and the message will be sent to everyone in the designated group.

Need an example?

Let’s say an administrator wants to send a message to a group called “Staff” on their SMS platform.

They would then create a new message on their phone with 229-299-8227 as the recipient. For the content of their message, they would input the following: Staff Please report to HR for an update on your benefits.

sms users text via text example

After they send that message, it will submit to the SMS platform, and the message (“Please report to HR for an update on your benefits”) will go out to people in the “Staff” group.

A few notes:

  • Administrators will only be able to send texts to groups that they have permission to send to
  • Administrators with appropriate permissions can also use the word All in place of the group name to send their message to all contacts in your SMS platform
  • This method is only able to send messages to one group (or to all contacts) at a time
  • This method isn’t able to send messages to groups that contain a space in their names

These 3 methods by which administrators can send messages give you several options to match your needs, providing further flexibility and maximized convenience.

Conclusion

If you’re concerned about an SMS platform not giving you the capabilities you need to add administrators, you can put those concerns to rest.

Take advantage of the convenience and flexibility of:

  • Adding unlimited administrators
  • Managing administrators easily
  • Having multiple options for administrator permissions
  • Having multiple options for administrators to send messages
